An access to information request provides applicants with the opportunity to formally request information that is not already publicly available or that cannot be obtained by contacting the City business area.
Types of Access to Information Requests
There are three types of access requests.
- General requests - for records that do not contain your personal information, such as:
- An agreement
- A City report
- Emails about a City program
- Personal requests - for records that contain your personal information, such as:
- Your files related to medical matters from when you worked for the City
- Bylaw complaints in which you are a party
- 311 call ticket notes in which you are a party
- Personal information requests on behalf of someone else - for records that contain the personal information of an individual where you have been given the authority to act on their behalf or have some other right under ATIA.
Submitting an Access to Information Request
To submit an Access to Information (ATI) Request, follow these steps:
- Complete the Access to Information Request form using:
- The online form; or
- The Request Access to Information Form
- If you are acting on behalf of someone else, for example as a legal or insurance representative, attach the completed Authorization of Representative form
Pay the initial fee, if applicable. If paying by cheque, make it payable to the City of Edmonton

How Corporate Access and Privacy Responds
- Corporate Access and Privacy (CAP) reviews your request
CAP cannot process your request until all information is received and any required attachments and fees are submitted. If there are questions about the scope of your request or if your request is incomplete, Corporate Access and Privacy will contact you. If the number of records is expected to result in additional fees, Corporate Access and Privacy will discuss this with you before proceeding.
- City of Edmonton business areas search for and collect the requested information
Once a complete request is submitted and clearly understood, Corporate Access and Privacy coordinates with City business areas to locate the records you requested.
- Corporate Access and Privacy reviews the records to make sure there is no legal reason they can’t be released to you.
The goal is to release as much information to you as we can. Information must be withheld if it is mandatory under the Act. For example, the City must withhold information if releasing it would be an unreasonable invasion of someone else’s personal privacy. There are also discretionary reasons to withhold information under the Act. If we do need to withhold or redact information, we will let you know why.
- Pay any additional fees due
Pay any additional fees that may be due to cover processing and/or copying large numbers of records.
- Corporate Access and Privacy will provide the records to you
Your request will normally be processed within 30 business days. Access to Information Requests are processed in the order they are received; express service is not available. There are circumstances in which a time extension may be required to complete processing. If an extension is required, we will contact you with an amended timeline.
