Entry Process

  1. Review the Call for Entries document which details the submission requirements
  2. Pay your entry fee online and keep your invoice number
  3. Complete the form and keep your submission number

Pay Your Submission Fee Online

Payments must be made online in order to submit your entry below. Keep your invoice number as you'll need it to complete the submission form.

Please ensure all names are spelled as you wish them to appear in our publications such as awards and certificates, media coverage, and awards book. 

This form and all related files must be received by 4pm on Wednesday July 31, 2019. 

The work may be returned “unjudged” if it does not comply with the submission criteria, or the information in the 2019 Call for Entries. Submission fees for work that is found to be in contravention of the respective categories will not be refunded. The jury will also look at the clarity of presentation: understandable, readable, and well-illustrated graphically or with photographs.

What if my project meets the criteria for multiple categories?

Select the category you think best fits your project. In order to select the winning projects, the jury may move projects between categories as they deem appropriate, or apply projects to multiple categories.

What if I have multiple projects I’d like to submit?

We welcome all projects! The more projects we have the better the competition will be. To submit more than 1 project, first visit the payment page and add multiple submission fees to your cart. You can then complete the submission form once for each project and enter the same invoice number.

When does my project need to be completed?

For most of the categories, projects need to be completed between January 1, 2017 and July 31, 2019. Projects generally need to be substantially complete. Projects will be judged on the quality of the information provided on the submission form and the jury may also wish to visit your project during the judging process. Submissions that are not able to clearly demonstrate the final quality of their project should not submit for 2019, but will be eligible for the 2021 Urban Design Awards.

Can I include information about the designers in my submission?

It’s important to not include names of individuals or firms in the project description or main image files as they need to be judged anonymously.

How will the information I submit be used?

The information on your project will be used primarily for judging. We will also be promoting entries through various communication methods over the course of 2019. Any personal information will not be shared without your permission and will only be used for the purposes of the 2019 Urban Design Awards.

Project Description
In the following sections please do not reference any of the contributors to your project by name/organization. The information may be used in the judging process. You will not have an opportunity to provide us with more information later in the competition.

This will be used in any future publications to promote your project.

This will be used in the judging of your submission. Should your project win, it will also be used as the description of your project in any winning publications.

File Upload
You must share with us an externally hosted folder that contains a minimum of 5 images that clearly illustrate your project. These will be used in the judging process. These can be photographs, renderings, diagrams, sketches etc. as appropriate to illustrate your project and the design concept. We recommend images that show how projects support their context and the adjacent public realm, particularly those that show people interacting/inhabiting the space. We do not recommend interior shots unless they clearly demonstrate their context to the public realm.

Image requirements:
  • High quality files of at least 1600 x 1200 pixels
  • No images with watermarks will be accepted
  • Files should be named with the project name and image number in the following format: PROJECT NAME_#. For example: RITCHIE MARKET_3.
  • A minimum of 5 images must be provided. The files that are named PROJECTNAME_1 to PROJECTNAME_5 will be used as the primary project images and will be the only images used for judging purposes.
  • In addition to the 5 project images, please also provide a before and after photo. These should be taken from the same location wherever possible, and named "PROJECTNAME_BEFORE" and "PROJECTNAME_AFTER"
  • You may provide more images and/or other background information to support your submission. Additional content will not be used for judging purposes, but may be used in other promotional materials. 
  • You must provide us with a link to download the file. There is no limit to the file size you may submit. The file may be downloaded at any time, and you must not make changes to the contents of the file within the download link.
  • You will not have an opportunity to provide us with more images later.

(ie. Dropbox, Google Drive, etc.)
Special Recognition (optional)
This section is for special recognition and is not a requirement of the main competition. If you would like to let us know about any child friendly or winter design elements included in your project please complete the following information. 

Information submitted will be used to promote your project through other City of Edmonton initiatives in addition to the Edmonton Urban Design Awards Program.


Photo Release

The owner and copyright holders of the text, drawings, photographs, plans, graphics, books and brochures submitted to the 2019 Edmonton Urban Design Awards Program, hereby grant permission to the City of Edmonton to use and reproduce this material for the following purposes:
  • Publicity to promote the 2019 or future Edmonton Urban Design Awards Programs, to announce the awards, and in all materials used to educate the public about urban design, including but not limited to pages on the City of Edmonton website.
  • Images will be retained by the City of Edmonton and the City of Edmonton shall be granted a perpetual, irrevocable, royalty-free, non-transferable, non-exclusive license to use such images and such physical and digital media for City of Edmonton purposes without attribution. 

Waiver of Liability and Insurance

Neither the exhibit facility nor the City of Edmonton will be responsible for loss or damage to any property from any cause in storage, while in transit or while on display. Firms are urged to carry all-risk floater insurance covering their materials against damage, loss and all other hazards. This can generally be done by adding ‘riders’ to existing insurance policies often at no additional cost. Please check with your insurer. All insuring must be done at your own expense.

Permission to contact

The City of Edmonton has my permission to contact me with more information about the Edmonton Urban Design Awards 2019, such as clarification and follow-up on my submission, and invitations to Urban Design Award events.  

FOIP Statement:
Your personal information is being collected under the Authority of Section 33(c) of the Freedom of Information and Protection of Privacy (FOIP) Act and will be used for administrative purposes of the City of Edmonton's Urban Design Awards. Names and contact information provided will be used to credit persons and firms whose submission is selected as an award winner. All submissions will be summarized in an awards book at the end of the competition, and this will include individuals and firms' names.
