Event Application

Planning a New Special Event or Festival

Before contacting the Civic Events Office, you need to complete the following steps.

Step 1: What is your event?

Start to think about how you want your event to look, and the different amenities that you may need.

Any details about your event that you can gather before you submit your event application will help us get started.

Step 2: Where do you want your event to be?

Edmonton offers numerous outdoor locations for hosting special events and festivals.

Each location offers unique amenities to serve your event.

Please review our public spaces section to determine your preferred location.

Step 3: Fill out the online application

Now comes the application! You will need to complete an online event application form.

Applications must be received at least 12 weeks prior to your estimated event date.

Events are booked in the following priority:

  1. Historical/recurring event with same date(weekend) and location request as previous year;
  2. Historical/recurring events with new date/location request from previous year; and
  3. New event requests

You'll be asked for basic information on your form including:

  • Event location (parkland, the river valley, pathways, roadways or sidewalks)
  • Load-in and load-out schedule
  • Activities/schedule of events on-site
  • If you plan on having vendors at your event
  • If you plan to serve alcohol
  • If you plan to use fireworks or other types of pyrotechnic displays
  • If you plan to set up one or more tent(s) or stages with an area of greater than 300 sq. m.

Please note: There may be costs associated with various civic services, including (but not limited to) services like closing roads and issuing permits (see below).

Step 4: Review and Follow-up

The Civic Events Office will review your submission and contact you to discuss your application. If your application is approved, the Civic Events Office will work with you to arrange access to the civic services you might require (for example: road closures, permit applications, or special event policing).

Once we determine what services you require, we create a permit, and in some cases, a contract for use of the space that is based on your specific event requirements and its location. The contract will also be based on the condition that you will provide a proof of insurance for your event of $2 million general liability.

Important Information for Event Organizers

Civic Services

There are costs associated with civic services that you may require for your event depending on the venue of your event. The services are coordinated by the Festival and Event Liaison assigned to your event, which will assist event organizers in understanding each service.

Civic services include (but are not limited to):

  • Special event policing
  • Road closures - All events on road right-of-ways require a Special Event Roadway Permit or Parade/Procession Permit with the exception of Block Parties
  • Transportation of City property (picnic tables, waste receptacles, fire pits)
  • Custodial
  • ETS detours
  • Medical services
  • Permits (tents, vending)

Insurance

All events are required to provide the City of Edmonton with a copy of $2 million liability insurance in favour of the City of Edmonton for the event. Depending on the size and scope of your event or festival, liability coverage may increase.
